SAS emails are going to my spam folder

You are expecting an email from SAS, but you don’t see it in your Inbox. Chances are your email provider’s spam filter flagged it and sent it directly to your Spam or Junk folder. If you find that email messages from SAS are consistently classified as spam, there’s an easy way to ensure they are marked as “safe.” Here are instructions on managing your Spam or Junk mailboxes for a few of the most popular email service providers.

Gmail

When a message from SAS is wrongly classified as spam, you can unmark the message. Just select the message, and click the Not Spam button that appears at the top and bottom of your current view. Unmarking a message will automatically move it to your inbox.

Prevent messages from SAS being mislabeled as spam, you can prevent this by:

  • Adding SAS' email addresses to your Contacts list (service@specialtyansweringservice.net, noreply@specialtyansweringservice.net, alerts@specialtyansweringservice.net, noreply@sasdesk.comsupport@sasdesk.comalerts@sasdesk.cominvoice@hq.bill.com, payments-noreply@sasdesk.com and notifications@sasdesk.com). Gmail will deliver messages from members of your Contacts list to your inbox, unless it knows with high confidence that they are spam.
  • Creating a filter so that SAS messages are never sent to Spam.
Some messages sent from contacts which are very clearly spam can be sent directly to your Spam label. More importantly, in some cases messages from contacts will not be sent to Spam but will be marked with a red warning banner if the content is suspicious - for example, your friend's or contact's account has been compromised and used to send phishing messages.

Yahoo Mail

Tips to avoid having SAS emails designated as spam:

  • Check your Spam folder to ensure that you do not miss a message from SAS.

You can move a message from the Spam folder to your Inbox: Check the box beside the message and select the Not Spam button.

Using Not Spam "educates" Yahoo's filtering system: By sending these examples to Yahoo for review, it will increase the effectiveness of Yahoo Mail's filtering system.

  • Adding SAS's email addresses to your Contacts list (service@specialtyansweringservice.net, noreply@specialtyansweringservice.net, alerts@specialtyansweringservice.net, noreply@sasdesk.com, alerts@sasdesk.com, and notifications@sasdesk.com) ensures that messages from us won't end up in your Spam folder.
  • Create a filter: Create a filter to ensure that our messages will always appear in your Inbox.

Filters automatically sort your incoming messages into the folders of your choice, according to rules that you set up.

With filters, you won't need to read through each message and decide where to put it.

Outlook.com (@hotmail.com, @msn.com or @live.com, Microsoft Office, Exchange, Windows Live Mail, Entourage)

SmartScreen filter helps reduce unwanted email. It's built into Microsoft email programs and is turned on by default.

Add SAS to your safe sender list and unwanted senders to your blocked list. This helps SmartScreen personalize your email experience, to deliver email that you want into your Inbox, and to filter unwanted email into the Junk folder.

For Outlook.com

Contacts on your safe list appear in the “People” view of your Inbox. Their email messages go directly to your Inbox and are never filtered as junk email.

To add SAS to your safe list:

  1. Click the gear icon on the right side of the page, and then click Options.
  2. Under Preventing Junk Mail, you will find:

             Filters and Reporting – Here you can:
             o   Choose a junk email filter
             o   Delete junk email
             o   Report unwanted email to the sender
             o   Block content from unknown senders

             Safe and Blocked Senders – Here you can:
             o   Manage safe senders
             o   Manage safe mailing lists
             o   Manage blocked senders

Train the junk email filter

Although the junk email filter catches most junk email that gets delivered, it may miss some junk email, or send some email that isn't junk to the Junk folder. You can train the junk email filter to be more effective by telling it what is and isn't junk email.

Identify e-mail messages as junk: messages are immediately moved to the Junk E-Mail folder

  1. In your Inbox, select the check box for the e-mail message that you want to mark as junk e-mail.
  2. Click Junk.


Identify e-mail messages as not junk: messages are immediately moved to you Inbox

  1. In the Junk E-Mail folder, select the check box for the e-mail message that you want to mark as not junk.
  2. Click Not Junk.


For Outlook 2010 and Beyond

Here are the junk email filter lists you can create and deploy:

  • Safe Senders: Email addresses and domain names in the Safe Senders List are never treated as junk email, regardless of the content of the message. You can add your Contacts and other correspondents to this list. However, by design, safe domains are not recognized by default in Exchange Online or in Exchange Online Protection. Only blocked domains, blocked sender addresses, and safe sender addresses are recognized. If you use a Microsoft Exchange Server account, all names and addresses in the global address list (GAL) are automatically considered safe. The Safe Sender limit is 1024.
  • Safe Recipients: If you belong to a mailing list or a distribution list, you can add the list sender to the Safe Recipients List. Messages sent to these email addresses or domain names are never treated as junk, regardless of the content of the message.
  • Blocked Senders: You can easily block messages from particular senders by adding their email addresses or domain names to the Blocked Senders List. When you add a name or email address to this list, Outlook moves any incoming message from that source to the Junk Email folder. Messages from people or domain names that appear in this list are always classified as junk, regardless of the content of the message.
  • Blocked Top-Level Domains: To block unwanted email messages from another country/region, you can add country/region codes to the Blocked Top-Level Domains List. For example, checking the CA [Canada], US [United States], and MX [Mexico] boxes in the list blocks messages from email addresses that end in .ca, .us, and .mx.
  • Blocked Encodings: To block unwanted email messages that appear in another character set or alphabet, you can add encodings to the Blocked Encodings List.

To create the default junk email filter lists

  1. Click the Home tab. In the Delete group, click Junk, and click Junk email options.
  2. On the Safe Senders tab, click Add.
  3. Enter an email address, for example, someone@exchange.example.com
  4. Click OK.
  5. Click Export to file. (While this is a .txt file that can be created outside of Outlook, we do not recommend that you do so. When you create the file from within Outlook, file formatting and elements like carriage returns are all in the right places.)
  6. Enter a unique file name for the Safe Senders list, and click Save.
  7. Repeat steps in the Safe Recipients tab and the Blocked Senders tab to create Safe Recipients and Blocked Senders lists. You can also create an International filter file if that makes sense for your organization. Be sure to specify a unique file name for each list.

You now have default junk email filter files that you can configure and deploy.

Apple iPhone Email

iCloud automatically identifies most junk mail (spam) sent to your @icloud.com address or its aliases and moves the junk mail to your Junk mail folder. If you receive unwanted mail, you can mark it as junk. Messages marked as junk are displayed with a junk mail icon.

Important: Because email messages in the Junk folder are automatically deleted after 30 days, periodically check the Junk folder for messages from SAS that were marked as junk mistakenly.

Mark a message as junk

  1. In the message list, select the message that you want to mark as junk.
  2. Drag the message to the Junk folder in the sidebar.

Subsequent email messages from the same sender are automatically marked as junk.

Indicate that an email message from SAS isn’t junk

  1. Click the Junk folder in the sidebar.
  2. Select a message, then click the Not Junk button in the top right of the message window.

The message is moved to your Inbox. Subsequent email messages from SAS are no longer automatically marked as junk.

Delete junk mail

By default, messages in the Junk folder are deleted after 30 days. To free up iCloud storage space, you can delete messages in the Junk folder at any time.

Do any of the following:

  • In the Junk folder, select the message or messages you want to delete, then click the Move to Trash button in the toolbar.
  • If you don’t see the Move to Trash button in the toolbar, choose Preferences from the Action pop-up menu, click General, then turn off “Show Archive icon in the toolbar.”
  • To select several adjacent messages, click the first one, then Shift-click the last one. To select multiple nonadjacent messages, Command-click them on a Mac or Control-click them on a Windows computer.
  • Drag the message to the Trash in the sidebar.
  • Select the message you want to delete, then press the Delete or Backspace key.
