How to set the dates for your rotating on-call schedule

There are a few easy ways to set date ranges when you are building a rotating on-call schedule.

In this article we'll discuss:

Let's get you to your schedule!

1
After you've configured the settings for your schedule, you can click directly on your schedule or click the 3-dot menu icon adjacent to your expired schedule and select Schedule. This will bring you to an empty calendar.
2
On the next screen, you'll see an overview of your calendar that lists when the schedule expires, the Shift Run time, the  Time zone, the Type of schedule you've created and the associated Reach Message. You'll also notice three calendar timelines: Rotations, Overrides and Final.

Selecting Dates from the Calendar Overview

1
Simply click on any date, or click  Add Rotation in the upper right corner to begin editing.

2
You can also Click and Drag to select a date range. From the calendar overview page, left click on the date your schedule begins, and drag the mouse to the date your schedule ends. The dates you select will show highlighted in pink. In the image below, the 11th through the 18th are highlighted.

Once your dates are highlighted and you release the mouse, you will be taken to the advanced scheduling screen, where you can use the options outlined below to continue creating your schedule.

Select Dates

By choosing this option, you can build out your schedule for a specific date range. You'll use the Date Range calendar  to set your start and end dates.

When selecting a date range, keep your Start / Stop Time in mind. Remember that it is a 24-hour period from X:00 or X:30 time on any given day to X:59 or X:29 on the following day. For example, if you would like to build out your schedule from January 1st to January 31st, but your start time is 5:00 p.m., then you'll need to set your date range from December 31st to January 31st in order to ensure that the morning of the 1st is included.

Using the Recurring Schedule Option

The Recurring Schedule option can make scheduling a breeze. This is useful if your schedule rotates with the same people, in the same order. Under Set Days, use the dropdown menu to Set Days for any of the following options:

  • Days of the Week (e.g., Every Monday)
  • Every Weekend
  • Every Weekday
  • Every Other Weekend
  • Every Other Week
  • Every Other Day
  • This Month
  • Next Month

Then, set the period of time that you'd like the schedule to apply. For the majority of options, the Set Period menu will consist of:

  • This Month
  • Next Month
  • Next 2 Months
  • Next 3 Months

If you have selected the Recurring options  Every Other Week, Every Other Weekend or Every Other Day, you'll need to set Starting in addition to the Period. This will determine whether the schedule will begin alternating on the 1st week or weekend / 2nd week or weekend, or 1st or 2nd day of the month.

Now that you've set the dates for your schedule, it's time to build it! Visit the tutorials listed below for step-by-step instructions.
